Growing Businesses Look to SharePoint Best Practices Amid Document Management Concerns

London, UK – 28 May, 2026 — Increased demand for SharePoint-related advice is revealing a wider issue among small businesses attempting to manage documents, permissions and collaboration tools effectively as they scale within Microsoft 365.

Adepteq, a digital workplace consultancy, has published a new resource titled “SharePoint Best Practices for Small Businesses” to address the operational problems many organisations experience after replacing shared drives and email attachments with cloud collaboration tools.

While SharePoint is often adopted to strengthen collaboration and improve document control, smaller organisations commonly encounter problems with duplicated files, scattered information across Microsoft Teams and email, inconsistent permissions, and low staff engagement. These concerns are increasingly reflected in online searches from businesses seeking practical guidance on how to organise and manage SharePoint environments successfully.

The guide introduces an example scenario representative of challenges faced by growing companies. In the example, an architectural firm struggled with documents stored across different systems, causing teams to work from outdated versions, exposing sensitive data to unintended users, and making it difficult for employees to find key resources. After implementing SharePoint as a centralised platform with governance controls, versioning and approval workflows, the organisation achieved greater consistency and confidence in its internal processes. The scenario is illustrative and not presented as a formal case study.

Phil Cave, Technical Director at Adepteq, commented: “What we see time and again is that SharePoint itself isn’t the problem. Small businesses struggle when it’s introduced without clear objectives, structure or ownership. The questions people are searching for online reflect a need for practical guidance on how to make SharePoint work day to day, not just how to switch it on.”

The guide details the benefits SharePoint can offer small businesses through Microsoft 365, including secure file management, intranet functionality, collaborative working, workflow automation and stronger compliance controls. It also stresses that these features are frequently underused when organisations fail to establish governance or provide adequate support.

Recommendations within the guide include defining clear objectives early on, designing a straightforward and scalable information architecture, relying on metadata instead of excessive folder nesting, assigning permissions via groups, and prioritising employee training. It also highlights common errors such as copying legacy file structures directly into SharePoint and expecting users to adapt without assistance.
